We are currently looking for an experienced and motivated full-time, on-site Administrative Assistant to assist our Managers and Executive at our Head Office located in Markham, Ontario.
The Administrative Assistant role is critical in providing Human Resources, Finance and Payroll assistance in general administration and management of all head office related activities. This position also plays a supportive role in ensuring all files and tracking documents are up-to-date and accurate.
What You Will Do?
- Prepare, review, and/or edit various forms of correspondence such as letters, invoices, presentations, publications, and reports
- Responsible for all Head Office mail distribution and tracking
- Maintain and manage inventory of office supplies, uniforms, name tags contract/membership agreements, business cards purchase, gift card & guest pass allocation to all clubs.
- Birthday and tenure ship – co-ordination
- Season event calendar across all clubs for décor.
- Prepare agendas for meetings, transcribe and distribute meeting minutes
- Organize, maintain, and coordinate office records and files,
- Present a positive and professional image of the organization when interacting with employees, clients/customers, visitors, and other external stakeholders
- Provide clerical and general office support as required
What You Need to be Successful
- Diploma/degree in Business Administration or related field
- 3+ years of administrative support experience is required
- 3+ years of data entry, data mining and data interpretation
- Proven MS Office proficiency (Word, Excel and PowerPoint) at an advance level is a must
- Proven record in ensuring confidentiality, integrity, professionalism and diplomacy at all times
- Comfort with navigating and learning new technology
