All parents should receive a welcome email one week prior to camp start date. Welcome emails will provide confirmation of your campers enrollment as well as any additional details regarding what to bring and other important details.

Our facilities are reserved for Members and program participants. Guests and parents are welcome to access the viewing gallery, bistro, family changeroom, and washrooms.

However, guests and parents are not permitted to use the fitness or racquet facilities.

Please be aware that any violation of this policy may lead to the removal of your child from the program and a permanent ban from Mayfair Clubs.

Cancellation Policy:

Mayfair Clubs requires a minimum of seven (7) days written notice from a registrant looking to cancel an event and/or activity. Cancellation requests received more than 7 days prior to the beginning of the program will be issued a credit for a future program. No credits will be issued for cancellation requests for any reason received less than 7 days prior to the beginning of the program. Please note: We do not offer refunds and we do not offer make-up classes/sessions/days – this includes for absences due to illness of participant. In the event that a parent or guardian requires modifications to their child’s registration—such as cancellation or changes in level, time, or session start—a $25 processing fee will be applied to cover administrative costs.

Mayfair Clubs reserves the right to cancel any program on any given date and time for situations outside of Mayfair Clubs control. Should this occur, all registrants will receive a credit for a future program. If the program has begun, a credit will be issued for the unused portion of the program.

Registration Changes or Adjustment Policy:

In the event that a parent or guardian requires modifications to their child’s registration—such as changes in level, time, or session start—a $25 processing fee will be applied to cover administrative costs. The processing fee will be charged per child and per adjustment. The administration processing fee is non-refundable. In exceptional cases where adjustments are required due to administrative error or unforeseen circumstances, the fee may be waived at the discretion of the administration.

Mayfair Clubs Bistro cannot guarantee 100% absence of cross-contamination for children with severe allergies, including exposure to high-risk allergens.

Please Note: Our camp meals and snacks are portioned based on average nutritional needs. If your child has a larger appetite or specific dietary needs, we recommend sending additional snacks with them each day.

• We have plenty of complimentary parking at all our Clubs that you can use at Drop-off.
• Drop-off starts at 9:00am. The sign-in area will be in the lobby with signage indicating camp types.
• Parents MUST accompany their kids to the sign-in area to complete the sign-in process which includes communicating authorized pick-up person.
• Camp ends at 4:00pm sharp & pick-up will be in the same spot as drop-off. Parents will need to provide valid photo ID. If someone different is picking up a child than who dropped them off, counselors need to be informed at drop-off and they must be prepared to show valid photo ID. 
• On rainy days, please come into the club and a team leader will direct you to the sign-in area.    
• For individuals who are attending half-day – PM, a camp counselor will greet you at the front entrance at 1:00pm for pick-up/drop-off.    
• A hot lunch is provided for all campers from our Bistro. Orders will be taken during check-in each morning.    
• Parents are also welcome to enjoy our bistros and complimentary WIFI if they’d like to work onsite while their kids are at camp.

If you require an exception to the age requirement for your child, please contact the program or camp lead directly.

Parents are not able to edit their child’s date of birth in our application; any changes must be requested by emailing the program or camp contact. In some cases, a birth certificate may be required to verify your child’s age.

Age restrictions are in place to ensure the safety and enjoyment of all participants. Misrepresenting a child’s age can negatively impact the camp or program experience for everyone. In some cases, a child may be removed from the activity if the correct age cannot be verified.

Every day, we ask that parents and guardians send with their child the following: 

• Hat 
• Suntan lotion (Summer Camp only) 
• Morning snack – NO NUTS 
• Afternoon snack – NO NUTS 
• Water bottle, refillable
• Non marking, soled running shoes (wearing)* 
• Athletic attire (wearing) with change of clothes
• Bathing suit (Towels are provided) 
• Swim goggles
• Your own racquet for tennis and squash (we sell kid sized ones in our Sports Shop)
• Extra clothes for kids younger than 5 years
• Lifejackets are provided for those who do not pass the swim test 

*If not wearing non marking running shoes, child may have to sit out when participating in activities on our courts.

Please note: Lunch it provided for all full day camp participants. Lunch is not provided for AM & PM Half Day PA Day camp participants and Half Day Full Week PM camp participants. Campers with dietary restrictions are asked to send an email to the Camp Contact for a separate menu (vegan/vegetarian/gluten-free/lactose-free etc.) 

1. Reporting Lost Items:

Guests who have lost an item should report it immediately to the front desk. Please provide a detailed description of the item, including any distinguishing features, color, and condition.

2. Found Items:

All found items should be turned in to the front desk immediately. The front desk staff will record the item, including its description, the date it was found, and the location where it was found.

3. Item Retention:

All lost and found items will be kept at the front desk for a period of 60 days from the date they are found. During this time, guests may inquire about lost items or claim their belongings. It is the responsibility of the guest to check with the front desk promptly for any lost possessions.

4. Unclaimed Items:

After 60 days, any unclaimed items will be donated to a charitable organization or disposed of appropriately. The facility will not be responsible for any items that are not claimed within the retention period.

5. Special Considerations:

Items that are perishable, hazardous, or of a similar nature may be discarded immediately upon discovery. The facility is not liable for lost, stolen, or damaged items, and it is recommended that guests keep valuables in secure locations.

We understand that unforeseen circumstances may arise, causing delays in picking up your child from our summer camp. To ensure the safety and well-being of all campers and staff, we have implemented the following late pick-up policy:

Lakeshore:

• Tiny Tots Only: Late Pick-Up Time Half Day AM: After 12:00 PM
• Late Pick-Up Time Half Day AM Camps: After 1:00 PM
• Late Pick-Up Time Full Day Camps: After 4:15 PM
• Late Pick-Up Aftercare: After 6:15 PM

Parkway:

• Late Pick-Up Time Half Day AM Camps: After 12:30 PM
• Late Pick-Up Time Full Day Camps: After 4:15 PM

West:

Splash & Laugh and Multi Sport:

• Late Pick-Up Time Half Day AM Camps: After 1:00 PM
• Late Pick-Up Time Full Day Camps: After 4:15 PM
• Late Pick-Up Aftercare: After 6:00 PM

Tennis:

• Late Pick-Up Time Half Day AM Camps: After 12:30 PM
• Late Pick-Up Time Full Day Camps: After 4:30 PM
• Late Pick-Up Aftercare: After 6:00 PM

Pickleball:

• Late Pick-Up Time Half Day AM Camps: After 11:45 AM
• Late Pick-Up Time Full Day Camps: After 3:30 PM
• Late Pick-Up Aftercare: After 6:00 PM

Late Fee: $1 per minute, charged in increments of one minute.

• Parents or guardians who anticipate being late to pick up their child must notify the camp office at least 30 minutes prior to the scheduled pick-up time.

• Upon arrival, parents or guardians will be required to check in at the Front Desk.

• Late fees will be payable upon pick-up of the child.

The purpose of this policy is to ensure the safety and well-being of all campers by maintaining appropriate supervision levels after regular camp hours. It also aims to discourage late pick-ups that may inconvenience camp staff and other families.

Exceptions:

Exceptions to the late pick-up policy may be made in cases of emergencies or unforeseen circumstances. Please contact the front desk as soon as possible if you anticipate being late due to such circumstances.

We would prefer that cell phones not be brought to camp; however, we also understand that they can be an important communication tool for you and your child.  Please remind your child that cell phones are not to be used during camp program time and that we reserve the right to confiscate a cell phone for the remainder of the day if its use is distracting or disruptive. Camp staff are also not permitted to use their personal cell phones except for emergencies.
